Who we are

EDGE & EMBERS DIGITAL LIMITED (company 9453299, NZBN 9429053902658) is a New Zealand company. Registered office: 28 West Farm Drive, Kaiwaka 0975, New Zealand. Trading name: Edge and Embers. Mate lives at mate-ai.co.nz. This policy is only for Mate. Contact: hello@edgeandembers.co.nz, +64 21 338 039. New Zealand's Privacy Act 2020 applies.

Why we collect

We collect what we need to run Mate for the business owner who signed up. That includes quotes, invoices, connected mail, voice, and the tools the owner turns on.

What we collect

• Account name, email, phone, business profile, rates.
• Job records: contacts, quotes, invoices, notes, photos and renders the owner uploads or Mate generates.
• Connected Gmail and/or Outlook metadata and bodies we read so Mate can draft.
• Twilio call and SMS records when that number is live.
• Voice audio we transcribe, then the transcript.
• OAuth tokens for Google, Microsoft, and Xero (encrypted at rest as implemented).
• Stripe customer and subscription IDs. Stripe holds card numbers.
• Logs needed to run the product, including approvals and kernel decisions.

Processors

Vercel (app hosting). Supabase (database and auth). Anthropic (language model). OpenAI (speech to text and text to speech). Stripe (payments, when billing is live). Resend (email send, when used). Twilio (phone and SMS, when the Mate number is live). Information is stored and processed by our providers, which may be outside New Zealand (including Australia and the United States). That disclosure is under Privacy Act IPP 12.

We do not sell personal information. We share with the processors above so Mate can run.

Limits on how Mate uses data

IRD numbers and bank details stay out of model prompts and out of customer emails. Mate does not scrape the public web. Outbound money, email, SMS, and supplier chase wait for the owner to Approve.

Access

Email hello@edgeandembers.co.nz to access, correct, or delete personal information. That is a Privacy Act request. We will delete on written request, except records the law requires us to keep.

Retention

We keep account data while the account is active. Invoice and tax records are typically kept for 7 years in New Zealand once we are billing. There is no separate automated Mate retention job today. We do not promise same-day deletion of voice audio.

Cookies

Session and auth cookies only. We have not added analytics. If that changes, we will name the tool here.

Security

We use reasonable technical measures, including encryption of OAuth tokens at rest as implemented, and two-factor authentication for owners who enrol. No service can promise absolute security.

Children

Mate is for businesses. It is not for consumer accounts for people under 18.

Changes

We may update this policy. Material billing changes will be emailed to the account address.
